📋 What to enter here — and why it matters
Insurance — Your monthly commercial auto/cargo insurance premium. For a small fleet this is typically $1,500–$4,000/mo depending on coverage and number of units.
Truck Lease / Payments — Monthly truck lease or loan payments across all vehicles. If you own outright, enter $0 — depreciation isn't tracked here.
Office / Rent — Any office space, storage yard, or facility you're paying for monthly. Home office: estimate the business-use portion.
Phone / Tech — Cell plans, Geotab subscription, CIGO, any SaaS tools used for the business. Typically $200–$600/mo for a small carrier.
Other Monthly — Accounting fees, licensing, permits (annualized ÷12), WCB premiums, any recurring cost that doesn't fit above.
Baseline KM — Your estimated total fleet KM per month. Used to convert your fixed monthly costs into a $/km rate that gets applied to each route. Use your actual monthly average — check GPS reports or fuel records. A reasonable starting point for a 3–5 truck fleet is 15,000–40,000 km/mo.
⚠️ If these fields are $0, every margin and profitability figure in the system is wrong. Overhead is a real cost — leaving it at zero makes your routes look more profitable than they are. Fill this in before trusting any P&L or profitability report.
